Affiliate Organization

Student organizations form an important part of the educational experience for many graduate and professional students at Washington State University. These Affiliate organizations are vital to student life as well for the continuing development of professional skills while in academia.

If you need help with the guidelines or have questions about forming an Affiliate or renewing your active status for the current academic year, please call the GPSA office at 335-9545.

Privileges:
Budget allocation, up to $500 per academic year
• Right to promote your organization and its activities on campus
• Right to advertise as a WSU student organization
• Right to sponsor speakers and events on campus
• Free use of Compton Union meeting rooms, when available
• Right to apply for student office space in the Compton Union Building
• Free use of banking service through the University Controller's office

Funding Request:
Affiliate funding is reviewed each year. Please download the Affiliate Funding Request document and return it to the GPSA office. Please provide request 4-6 weeks before funding is needed.



Steps to Official Recognition:

  1. Develop a constitution for the organization based on input from the members. A group's constitution is an important document that governs its purpose and future actions. Anticipate the future and insure that your constitution does not limit the organization's options for growth and change. The following information should be included:
    a. Name of organization
    b. Purpose and objectives
    c. Qualifications for membership--you MUST include a non-discrimination statement
    d. Sources of financial support (dues, initiation fees, local/national aid, and financial projects)
    e. Description of officers, including qualifications, duties, and method of election
    f. National/local affiliations and any financial obligation resulting from that affiliation
    g. Parliamentary authority and method of amending constitution
    h. Adoption and amendment procedures
    i. Description of the organization's safety program (if applicable)
    j. Include the statement: "The balance of this organization's FS&A account will never be allowed to be overdrawn. If the organization should disband and abandon the FS&A account for more than one year, any excess funds will be deposited in the account indicated on the previous year's Organizational Report Form." If no fund is indicated, any excess funds will be deposited in the Student Activities Board Account 6680-7890
    k. Date the constitution with month and year
    l. List responsiblities of the advisor
     
    Please note: Full membership in student organizations will be restricted to full-time, currently enrolled graduate and professional students at WSU. Others may participate as honorary or associate members (ex-officio, with no voting rights). Additionally, all officers of the organization must be graduate and/or professional students. WSU will not recognize any student organizaiton which denies membership because of race; religion; sex; age; color; creed; national or ethnic origin; physical, mental or sensory disability; marital status; sexual orientation; and status as a Vietnam-era or disabled veteran.
     
  2. Elect officers in accordance with your constitution.
     
  3. Complete an Organization Report Form and Officers Card, listing officers and advisor, their addresses and phone numbers, and submit, with a copy of your constitution, to the Activities/Recreational Sports office for recognition.
     
  4. If your student organization is affiliated with a community, state or national organization, a copy of the parent organization's constitution must be submitted with other recognition forms.
     
  5. Approval will be given through the Activities/Recreational Sports office.
     
  6. When an organization receives final approval they will be assessed a $5 fee, which covers the cost of the Recognized Student Handbook and Event forms. They will be assigned a mailbox in the GPSA offices, on the third floor of the CUB. Please use the following address for mail:

Maintaining Official Recognition

Once a group has become recognized, it is relatively simple to maintain the recognition status. The privileges of recognition will continue as long as groups fulfill the following:

  1. Complete an Organization Report Form and Officers Card to renew your group's recognition as official campus organization. Submit these items with a $5 fee within four weeks of the beginning of fall semester each year to the Activities and Recreational Sports Office (3rd floor CUB).
     
  2. Notify Activities/Recreational Sports office of elections within tend days of any election.
     
  3. Collect mail at least once a week from the organization's mailbox, GPSA offices in 308 CUB.
     
  4. Submit a copy of any revisions to constitutions to Activities/Recreational Sports for review and approval. Constitution guidelines also apply to revisions.
     
  5. Abide by Washington State University policies, local, state, and federal laws.
     

Responsibilities:
  Abide by all University rules and regulations, including those concerning
recognized student organizations.
  Complete and return to the Activities and Recreational Sports office an
Officers Card and Organization Report Form. Notify the office within one
week of officer changes.
  Establish a Faculty, Student & Alumni Account with the University for all
organization funds (CUB B-19). Recognized Student Organization must
keep their funds in the Faculty, Student & Alumni Account. Funds
cannot be deposited in a private bank account.
  Pick up mail from your organization's mailbox, located in the GPSA
offices, at least once a week.
  Maintain a copy of the organization's current constitution on file in the
Activities and Recreational Sports office.
  Abide by the organization's constitution and stated purpose.
